The Minutes of the last meeting were approved and signed by the Chairman. The minutes can be read on the ERSA website. (Note Minutes not yet available on website)

ESC membership of ERSA clubs.

12.03.03

JA reported that 2 of the Clubs within ERSA had not re-registered with ESC. However, Viking SC had paid their fee but ESC had not finished the paperwork. In addition, Bassingbourn SC is in permanent communication with the ESC regarding the insurance cover. As soon as this is solved. BAS will complete the paperwork and pay the necessary fee to ESC – well before the BAS Summer League Race.

ESC insurance cover:

JA to contact the ESC to look for a written explanation regarding the ESC insurance cover as there is still a lot of confusion within Clubs. (Correspondence with ESC is attached to these minutes).

PLEASE NOTE:

All participants of any ERSA Summer League Races must be either insured in their own right with the ESC as member of an ERSA Club or as a named member (to ESC) of their chosen ERSA club. It will be up to the various race managers to ensure that all their participating members fall in either of those 2 categories.

Financial review 2002 – 2003 + Budged 2003-2004

The accounts are attached to these minutes. As a whole, ERSA funds are in a ‘healthy’ state.

The Budget for 2003-2004 was set and is attached to these minutes.

ESC has requested to use ERSA’s radio timing for the races at Snowzone. SL to inform ESC that the Region will charge £ 100 per race weekend. However, ERSA will provide the batteries.

ERSA Squads and training

15 ERSA competitors (8 females and 7 males) have taken up a place in ERSA’s A-Squad.

22 ERSA competitors have taken up a place in ERSA’s B-Squad (development squad).

A list of all squad members as well as the criteria on how to become a squad member is published on ERSA’s website.

First Squad training took place at Brentwood and the second session is planned for Sunday, 6 April 2003 at Suffolk Ski Centre, 11h – 15.00h. JA to make the necessary arrangements. ERSA to pay for the use of the slope. Viking will provide sandwiches.

Kirk Durham, 2nd ERSA race trainer, plans to have some evening development squad training sessions at various clubs. More information will be circulated direct to the squad members.

It was decided that only A-Squad members who turn up at any Squad Training Sessions should be able to get a squad sweatshirt (a minimal fee of £ 5, 00 will be charged per sweatshirt). PF to order the 20 sweatshirts for the squad as well as 30 for the teams of the Inter regional event (again, a minimal fee of £ 5,00 will be charged per sweatshirt).

B-Squad members will have to pay for all sweatshirts in full. Money/cheques collected to be forwarded to HW – all cheques should be written out to ERSA.

Inter regional competition 2003 will take place at Rossingdale Ski Centre on 27 July 2003. ERSA hopes to send 3 teams. PF and SL to deal with the organizing of teams and transport for this event. ERSA to pay the entry fee of £ 60 per team plus some money towards the travel cost.

A separate session will be organised at BAS SC on 5 April 2003 between 19.00h – 21.00h to try out and work with the new dual slalom timing equipment. If squad members cannot attend, local racers will be invited. There will be no slope charge to ERSA.

ERSA Race Training Summer Camp 2003, Austria

Head Coach – RF has agreed to be the Head Coach for this year’s ERSA Summer Camp.

Written general information for the Clubs with some of the necessary paperwork where handed out. JC will hand over the envelope to a representative from the Snowzone and Brentwood Park S C. PcK to give the info to a representative from Bassingbourn and Becton Alps S C. JA will see that the information will get to Welwyn Garden City S C, Norfolk S C and the Vikings. Dermot Flahive took the envelope for Hemel Ski Racing Club and RH will give the info to Phil Brown for The Snow Club.

All Clubs, interested in taking part in this year’s Summer Race Training Camp are asked to contact RH as soon as possible with an approximate idea on how many beds will be needed so that the right accommodation can be secured.

Summer Camp Sweat Shirts (navy blue):

To make sure that we have enough sweatshirts in the right sizes to cover the demand all club camp organizers are asked to let RH know what is needed. Please remember, it takes between 6 – 8 weeks form ordering the garments until they are delivered (via the printing shop).

Pre departure meeting on dry slope?

Clubs are asked to find out from their participants if they would like a pre-departure meeting on a dry slope so that parents and children can meet and start to interact. Please contact Ros Humphrey with your findings (ros.humphrey@ntlworld.com).

JA and RF to read the prepared Code of Conduct and Medical consent form. All participants will have to complete these forms prior to the camp.

The committee agreed to sponsor the camp with up to £ 500.00. If necessary, this money could be used for an unexpected situation.

Race managers meeting: PvK reported on the outcome of this year’s pre-season race managers meeting. There were hardly any changes on the rules. – The rules on both the Summer league and the Championships can be downloaded from ERSA’s website.

Helmet rules: All participants of the ERSA races have to wear helmets.

The ERSA race calendar has been circulated – also posted on the ERSA website. The first Summer league race meeting will take place at Suffolk Ski Centre on 11th May 2003 followed by the Hemel race on 18 May 2003.

ERSA Championships 2003 will be staged at Hemel Ski Centre 12th October.

ERSA Inter Club Dual Slalom 2003 will be held at Welwyn Garden City Ski centre 13th July.

Race Officials

Clubs are asked to find out from their members if ERSA should lay on 1 or 2 one-day race officials courses at no cost to the participants (other than the ESC race officials membership – £ 5.00). Clubs need more level 1 race officials to ensure well run races. Please forward your findings to Ros Humphrey, ros.humphrey@ntlworld.com. If requested, ERSA will start to organize these workshops in Summer 2003

ESC AGM will take place at the Snowzone on 17 May 2003. Any Club within ERSA who will not send a representative to the ESC AGM can give their votes to the ERSA representative – Piet van Kempen. Please forward your completed proxy form to Piet. The proxy form is attached to these minutes.

ESC Head of Key Committee election on 17 May 2003 at Snowzone:

As there was little interest, ERSA is not able to nominate a person to stand against any of the 5 head of the key committees.

JA to write to the ESC regarding the fact that there are to many races on the ESC race calendar – especially with so many races organised at the Snowzone – it leaves hardly any time for grass route level events like the ERSA Summer League races. In the long run, everybody will loose.

After discussion the committee decided against buying ERSA bibs but to invest (when enough funds are available) in a time display board.
